Management and Office Assistant

Welcome to Maastricht University!

Would you like to work in an academic environment where you can make a real difference to the daily experience of staff and students? As Campus Venlo continues to grow, we are looking for an enthusiastic and proactive Management and Office Assistant who brings structure to daily operations, supports colleagues and helps develop efficient working processes.

Management and Office Assistant

  • Our goal: To contribute to a healthy and sustainable food system through education and research.
  • Your colleagues: You will work closely with another colleague, together providing administrative support to the growing group of staff members across multiple locations in Venlo.

Maastricht University in Venlo is one of Maastricht University's four campuses and is spread across the city centre of Venlo and Brightlands Campus Greenport Venlo. It offers bachelor's and master's programmes and high-level research that support the transition towards a healthy and sustainable food system.

As Management and Office Assistant, you help ensure that staff receive the administrative and organisational support they need to work effectively. You are a key point of contact for internal and external relations, coordinate meetings and correspondence, and handle administrative tasks such as expense claims and orders. Alongside your daily responsibilities, you actively contribute to structuring, improving and standardising working processes, helping to future-proof support for the growing campus.

What you do

  • Act as a point of contact for internal and external relations at both locations, responding to enquiries by telephone and email.
  • Plan and prepare meetings and take minutes in both Dutch and English.
  • Handle internal and external correspondence in Dutch and English.
  • Process expense claims and orders.
  • Actively contribute to structuring, optimising and standardising working processes.
  • Switch easily between different tasks, set priorities and ensure that administrative support runs smoothly across both locations.

Are you ready to set the course for the years ahead? Then we’d love to meet you.

What you bring

We’re not looking for checkboxes; we’re interested in who you are and what you bring. Do you recognize yourself in this?

  • Organisational skills: You have strong organisational and time-management skills, can prioritise effectively and bring relevant work experience.
  • Dutch and English language skills: You communicate effortlessly in both Dutch and English, both verbally and in writing.
  • Initiative and problem-solving: You have an entrepreneurial, solution-oriented mindset. You proactively identify opportunities for improvement and take initiative to put them into practice.
  • Communication and collaboration: You communicate effectively with a range of internal and external stakeholders and enjoy supporting colleagues.
  • Listening skills and student support: You are a good listener and are familiar with student-related and study-related issues.

Experience with administrative systems such as SAP or Corsa is an advantage.
