Job Description
The Enrollment Operations Officer plays a vital role in facilitating the administrative processes, related to admissions and student services. The role encompasses key operational functions, ensuring smooth and efficient workflows in admissions, financial management, visa processing, student support, and career services. The officer is responsible for maintaining accurate records, ensuring compliance, and supporting communication with internal departments and external stakeholders.
Key Responsibilities:
1. Admissions Process Administration
- Document Verification & Credential Evaluation: Conduct thorough checks and evaluate credentials for all incoming applications for MSM’s Master’s, Summer School, and international partner programs (China, Romania, Hungary, Indonesia, Kuwait).
- CRM Management: Maintain and update the CRM system (Full Fabric), ensuring accurate data entry for accreditation, rankings, and reporting purposes.
- Admissions Data Processing: Ensure all admissions-related data is correctly processed, stored, and accessible for student communication and decision-making. Responsible for uploading student information into the SAP system.
- Supporting tasks of interview planning, scholarship and financial support (including processing tuition fee, payment reminders etc), the visa application process, data reporting for accreditation, admissions statistics, institutional rankings, and student support tracking.
2. Student Services, Alumni and Career Support
- Alumni Data and Engagement: Maintain accurate alumni records in the database, support alumni engagement through programs like the Nexus Referral Program, and ensure consistent communication with alumni.
- Student Campaigns, Registrations, and Career Services: Assist in student information campaigns, organizing student registrations, and promoting MSM’s student and career services activities. Provide administrative support to the Career Services team, offering CV and motivation letter feedback, conducting mock interviews, and coordinating the CV Book project.
- Social Media and Policy Compliance: Support MSM social media through content creation and campaign management. Ensure compliance with MSM’s internal policies and accreditation standards, administer and analyze student satisfaction surveys, and compile insights to enhance service quality.
- Event Support and Administration: Provide logistical and administrative support for key MSM events, including Corporate Week, student orientation, and graduation, collaborating with other teams for successful execution.
Requirements
The ideal candidate has:
- A Bachelor’s Degree in Business Administration, Education, International Relations, or a related field.
- Experience in administrative roles, particularly in higher education admissions or student/career services.
- Strong organizational skills with the ability to manage multiple projects and tasks simultaneously.
- Attention to detail, especially when handling sensitive student data, financial records, and visa documentation.
- Familiarity with CRM systems and administrative tools such as SAP.
- Excellent communication skills, both written and verbal, with a strong command of English, for effective interaction with internal teams and external stakeholders.
- Ability to work independently and collaboratively as part of a team to ensure efficient administrative operations.
- Understanding of visa processes and international student requirements is a plus.
What we offer
As Enrollment Operations Officer at School of Business and Economics, you will be employed by the most international university in the Netherlands, located in the beautiful city of Maastricht. In addition, we offer you:
- Good employment conditions. The position is in graded in scale 8 according to the UFO profile Student Affairs Officer Officer, function level 2 with corresponding salary based on experience ranging from € 3.186 to € 4.255 gross per month (based on a full-time employment of 38 hours per week). In addition to the monthly salary, an 8.0% holiday allowance and an 8.3% year-end bonus are applicable.
- An employment contract for a period of 12 months with a scope of 1.0 FTE. If proven suitable, the employment contract will be converted into an indefinite contract.
- At Maastricht University, the well-being of our employees is of utmost importance, we offer flexible working hours and the possibility to work partly from home if the nature of your position allows it. You will receive a monthly commuting and internet allowance for this. If you work full-time, you will be entitled to 29 vacation days and 4 additional public holidays per year, namely carnival Monday, carnival Tuesday, Good Friday, and Liberation Day. If you choose to accumulate compensation hours, an additional 12 days will be added. Furthermore, you can personalize your employment conditions through a collective labor agreement (CAO) choice model.
