Administrative Secretary for the Ethical Review Committee Inner City Faculties (ERCIC)

The Ethics Review Committee for the Inner-City Faculties (ERCIC) provides ethics review of research projects conducted by researchers appointed at one of the four inner city faculties (LAW, SBE, FASoS, FSE). ERCIC consists of 2-3 representatives of each of the four faculties, a chairperson, a vicechair, and a secretary. The committee meets 11-12 times throughout the year, typically every 4-5 weeks.
Secretary for the Ethical Review Committee Inner City Faculties (ERCIC)
We are seeking an administrative secretary to complement our current executive team composition of chair, vice-chair and advisory secretary. This person will give substantive, procedural and administrative support to the ERCIC. With this opening, we are adding a second secretary to the executive team.
What you do
Key responsibilities include:
- Receiving and monitoring the processing of submissions on ERCIC’s agenda securely using the Research Project Services (RPS) platform, email and MS Teams;
- Making preliminary general assessments of applications received, including regarding legal or privacy-related points of attention;
- Monitoring and processing other substantive questions we receive, such as complaints and administrative requests;
- Maintaining internal and external communication (for example with researchers and with other ethical committees), in close consultation with the executive team;
- Managing ERCIC’s archival procedures and documentation of project registries;
- Organizing committee meetings among rotating members and sharing responsibility for taking minutes of committee meetings (11-12 times throughout the year, typically every 4-5 weeks on Thursday afternoon);
- Collaborating on updating forms, templates, and advisory documentation, along with the ERCIC executive team and technical support within the University Library for the RPS platform
- Collaborating on drafting reports on ERCIC’s activities;
- Communicating with ERCIC’s stakeholders, including the deans and secretariats of the four faculties and the relevant committees in the central university organisation.

What you bring

The secretary:
- has a primarily organisational or administrative profile, with experience in academic research work especially in University administration
- background, previous experience, or interest in privacy, legal issues, and ethics in research is a plus
- has excellent written and spoken command of English, and working knowledge of Dutch. Other language skills are also welcome.
- can organise working hours flexibly - the appointment is for 0,5 FTE, with the expectation that working schedule should include at least 3-4 days per week. The secretarial schedule is generally flexible, apart from executive team meetings (to be set collectively) and attending committee meetings (11-12 times throughout the year, typically every 4-5 weeks on Thursday afternoon).
What we offer

- A 12-month contract (0.5 FTE) with the prospect of a permanent contract based on mutual satisfaction.
- A gross monthly salary between €3546 and €5538 (based on full-time employment of 38 hours per week, CAO-NU, salary scale 10). 8% holiday allowance and an 8.3% year-end bonus.
- 29 vacation days (based on full-time), four additional days off (Carnival Monday and Tuesday, Good Friday, and Liberation Day), and the possibility to accrue up to 12 extra days through compensation hours.
